Use of CGU Spaces

 

The facilities of CGU are primarily for use by its faculty and staff and students for activities and programs that are directly related to instructional programs, research, and the administration of the institution. STUDENT USE OF CGU SPACES

 

Good planning is crucial to the success of CGU student events. Student Life, Diversity, & Leadership has specific procedures that must be followed to ensure that events of a certain size are registered and facilities are properly reserved. Please see SLDL Event Planning & Guidelines for student event guidelines.

RESERVING CGU SPACES

 

All spaces on CGU campus are managed electronically via the Virtual Event Management System (EMS). Browsing for available space is open to anyone as a guest. Reservation requests are only accepted from CGU faculty and staff. To access the reservation feature, you are required to request a user account and password. Please see Reserving Classroom & Other CGU Facilities for further guidelines and instructions.

Certificate of Insurance (COI) Requirements

University-Sponsored Events
A Certificate of Insurance (COI) is not required for events that are sponsored and hosted by Claremont Graduate University faculty or staff in support of the university’s educational, research, administrative, or community-engagement mission. These university-sponsored, mission-related events are covered under the university’s existing insurance policies, provided they are conducted in accordance with university policies and procedures.

Events organized by faculty or staff in a personal capacity, or for purposes unrelated to the university’s mission, are not considered university-sponsored events and may be subject to COI requirements and other applicable facility-use policies.

Vendors and External Organizations
A valid Certificate of Insurance (COI) is required for all vendors, contractors, service providers, and external organizations conducting business or hosting events on university property.

Examples include, but are not limited to:

Caterers, entertainers, and event vendors
Contractors and service providers
Outside organizations renting or using university facilities
Companies holding meetings, conferences, or special events on campus
Any individual or group not affiliated with Claremont Graduate University hosting an event on university property
The Certificate of Insurance must be submitted and approved prior to the event start date. Failure to provide the required documentation may result in the inability to access university facilities or participate in the scheduled event.
