The Registrar’s Office at Claremont Graduate University (CGU) serves as the official custodian of the University’s academic records and enrollment processes. The office is responsible for maintaining the accuracy, integrity, confidentiality, and security of student academic records while ensuring compliance with institutional policies and federal regulations.
The office oversees a broad range of academic administrative functions that support students, faculty, academic departments, and university leadership throughout the student lifecycle. Core responsibilities include registration and enrollment services, transcript processing, degree and enrollment verification, diploma services, graduation processing, academic calendar administration, and implementation of university academic policies and procedures.

Transcript Services
Official electronic and paper transcripts are ordered and paid for online through Parchment. Transcript requests are processed only after full payment has been received.
The CGU Registrar’s Office releases academic transcripts in compliance with the Family Educational Rights and Privacy Act (FERPA). All transcript requests must include the student’s written authorization. Requests submitted by phone or email will not be accepted. Transcript information may not be released or further disclosed without the student’s prior written consent, except as permitted by law.
Academic transcripts provide a complete historical record of enrollment and academic performance at CGU. To preserve the integrity and chronological accuracy of the academic record, all course enrollments — including audited courses — and all grades are included on the transcript, regardless of degree completion status.
Official Transcript Information
The CGU transcript is the official record of a student’s academic history and accomplishments at the University. Because transcripts include detailed academic information, such as courses, grades, and GPA, students should determine whether a transcript is necessary before requesting one for a third party.
In many cases, enrollment or degree verifications may satisfy the request without disclosing confidential academic information.

Due to potential domestic and international mail delays, electronic transcripts are strongly recommended whenever accepted by the recipient.
Electronic Transcripts
Official electronic transcripts are delivered through Parchment using a secure document retrieval system. Electronic transcripts include the University seal as a watermark and the Registrar’s signature on each page. Printed copies of official electronic transcripts display the word “COPY” across the face of the document.
Paper Transcripts
Official paper transcripts are printed on red security paper. When held to a light source, a translucent globe watermark is visible on both sides of the document. The Registrar’s signature appears in white on the face of the transcript.
Photocopies display “COPY COPY COPY” across the document. Exposure to liquid bleach causes the paper to discolor brown. Alteration of an academic transcript may constitute a criminal offense.
Official paper transcripts are mailed in envelopes marked “Official Transcript Enclosed.” The reverse side of the envelope states:
“The enclosed document contains all criteria for authentication and validation. No other marks, signatures, or seals are required on this envelope.”
University Name
From 1925 through July 1, 1997, Claremont Graduate University (CGU) was known as Claremont Graduate School (CGS).
Accreditation
CGU is part of The Claremont Colleges and is accredited by the Senior College and University Commission (WSCUC) of the Western Association of Schools and Colleges (WASC).
Grading and Grade Points
CGU uses a 4.0 grading scale to calculate grade point average (GPA). Students receive a single cumulative GPA for all coursework completed at CGU, regardless of academic program or enrollment status.
Credits
CGU courses and credits are based on the semester unit system. Credit-bearing courses have been reviewed and designated as graduate-level coursework. CGU students may also enroll in courses offered by the other members of The Claremont Colleges consortium.
Transfer Credit
Only courses completed with a grade of B or higher are eligible for transfer credit consideration.
Unofficial Transcript Information
Current students and graduates who earned a CGU degree or certificate in 2015 or later may access unofficial transcripts through the CGU PeopleSoft Student Portal.
- Log in to the CGU portal.
- Select the Academic Records tile.
- Choose View Unofficial Transcript.

Students who attended CGU prior to 2015 do not have access to unofficial transcripts through the student portal and must order an official transcript through Parchment. Students who wish to retain a personal copy are encouraged to order an official electronic transcript to themselves, which may then be downloaded and saved for future reference.
Unofficial transcripts are generated from the student academic record but are not considered official university documents and may not be accepted by third parties. Certain holds may prevent transcript access. Students may review holds through the student portal.
Enrollment & Degree Verifications
Enrollment and degree verifications, official letters, and related certification services may be used to confirm a student’s enrollment, degree status, attendance, or other academic relationship with Claremont Graduate University. These documents are often sufficient for employment, insurance, scholarship, loan deferment, housing, immigration, sponsorship, and similar purposes where proof of enrollment or degree completion is required.
Unlike transcripts, verification documents generally do not include detailed academic information such as courses, grades, or GPA, making them a useful alternative when full academic records are not required. Depending on the purpose of the request, students may obtain documentation through the Registrar’s Office, the National Student Clearinghouse, or the student portal.
FERPA Notice
Claremont Graduate University releases student information in compliance with the federal Family Educational Rights and Privacy Act (FERPA). Requests involving confidential or non-directory information from a student’s education record must be submitted in writing and may require the student’s signed authorization.

The Registrar’s Office provides enrollment verifications, degree verifications, and official letters to assist students and alumni in confirming their academic relationship with Claremont Graduate University. These documents are commonly used for employment, loan deferment, scholarship applications, insurance, housing, immigration, sponsorship, and other official purposes.
In many cases, a verification or official letter can satisfy a request without requiring you to share the detailed academic information contained in a transcript, such as courses, grades, or GPA.

Enrollment & Degree Verifications
Students and alumni may request enrollment or degree verifications using the Official Letter Request Form.
Verification letters may include:
- Degree program and academic plan
- Enrollment status (full-time or part-time)
- Terms of attendance
- Units enrolled during a term
- Anticipated completion or graduation date
The request form also provides space to describe additional information needed for the verification. The Registrar’s Office can verify only information contained in the student’s official academic record.
Students may also:
- Refer employers, lenders, or other third parties to the National Student Clearinghouse for official enrollment and degree verification services, or
- Print an enrollment summary from the student portal for informal purposes.
Official Letter Requests
Some organizations, including foreign embassies, funding sponsors, scholarship agencies, and government offices, may require documentation beyond a standard enrollment or degree verification. In these situations, students may request a customized official letter from the Registrar’s Office using the Official Letter Request Form.
Requests should clearly describe the information required by the requesting organization. Depending on the nature of the request, some information may need to be verified directly by the student’s academic advisor, department, or program.
Examples of specialized requests may include:
- Degree completion confirmation prior to degree posting
- Embassy or visa documentation
- Scholarship or sponsorship certifications
- Research travel or institutional introduction letters
- Enrollment certification with customized language
Loan Deferments
CGU reports enrollment information regularly to the National Student Clearinghouse (NSC), which many lenders use to verify student enrollment for deferment purposes.
In some cases, lenders or loan servicers may not immediately update their records after enrollment information has been reported. This can occur even when a student has been included in the University’s most recent enrollment submission.
If your lender indicates that your enrollment cannot be verified:
- confirm that you are registered for the current term,
- allow several business days following registration changes for reporting updates, and
- request an enrollment verification letter from the Registrar’s Office if immediate documentation is needed.
Students may also submit lender-provided deferment forms directly to the Registrar’s Office for completion.

- Certain holds may prevent the release of transcripts or official documents.
- Requests involving confidential or non-directory information must be submitted in writing.
- Only information contained in the student’s official academic record can be verified by the Registrar’s Office.
The Registrar’s Office does not provide enrollment or degree verifications by phone or email. All third-party verifications are processed in compliance with the Family Educational Rights and Privacy Act (FERPA).
CGU has authorized the National Student Clearinghouse (NSC) to provide official enrollment and degree verifications for a nominal fee. Verification requests may be submitted online through the NSC or mailed to:

The NSC charges a fee for successfully completed requests.
Requests for information not included in a standard enrollment or degree verification will not be fulfilled by the Registrar’s Office or the NSC, regardless of whether a signed release is provided. Individuals seeking additional academic information must obtain it directly from the student, who may request that an official transcript or official letter be sent to the third party.
Notarizations
The Registrar’s Office provides notarization services only for official CGU transcripts. Per California regulations, notarization may be completed only using original documents.
To request notarization:
- Order an official transcript through Parchment.
- Email student.records@cgu.edu to arrange notarization services.
CGU does not place a notary seal directly on the transcript. Instead, the Registrar attaches a sworn statement of authenticity to a copy of the official transcript.
There is no fee for notarization; however, students are responsible for transcript ordering and shipping fees. Requests may require several weeks to complete.
Apostilles
An apostille is a certification issued by the State of California verifying the authenticity of a notarization.
After obtaining a notarized transcript, students or requesting parties must submit the document directly to the California Secretary of State for apostille processing. Instructions, fees, and submission requirements are available on the State’s website.
