Guidance For Staff On Measures To Preserve Business Continuity
This page is intended for non-teaching Staff of CGU. It is a resource guide to address the challenges and provide potential solutions for continuing work while the campus is closed. As epidemic outbreaks, natural disasters, or other unexpected events can disrupt scheduled courses, the tools and strategies described here can minimize the effects of those unexpected situations.
Best practices for working remotely include live or synchronous communication and meeting, where you meet and communicate remotely through email, chat, video conference, and other options. Other options for working remotely include asynchronous activities like file shares, Dropbox, and other cloud options or other possibilities.
Two important measures you can take to prepare yourself involve becoming familiar with the use of two key technologies:
- Office 365 – The main administrative set of tools to conduct business
- Microsoft Teams – Online Collaboration and Video Conferencing Tool
Please remember, protecting data, especially student data, is paramount to what we do as University Employees. This can be be particularly easy to forget in a remote environment. Please take a moment to review CGU’s FERPA statement
- What is my CGU username?
- your CGU username for the Microsoft login page is usually your email address, meaning your first name + your last name @cgu.edu. Example: Ricardo Noriega with would be “ricardo.noriega@cgu.edu“
- your CGU username to log into TCCS Services (the purple page) is usually your Last name + your first Initial the last 4 digits of your CGU ID numer. Example: Ricardo Noriega with CGU ID of 123456 would be “noriegar3456“
- some legacy CGU username are usually your Last name + your first Initial(s). Example: Ricardo Noriega would be “noriegari“

- Setting yourself up for success
- Use Headphones instead of speakers, to mitigate feedback and get the best hearing experience possible
- Setup in a place with little business in the background of the webcam
- Setup your computer as close to your Internet Router as possible
- Connect with an Ethernet cable if possible
- Make sure other high bandwidth use is mitigated, e.g. other individuals streaming video, gaming, nonessential devices using the internet are turned off
- Close any programs you are not using for the Zoom meeting
- Troubleshooting Zoom
- If your Audio or Video start to get choppy, turn off your video, and ask others to turn off their’s
- If your audio is still unreliable, join the Zoom meeting by phone (you can stay online for the screen sharing functionality)

Forwarding to another Number
- Press the button under either “CFwdALL” (older models) or “Forward all” (newer models).
- You will hear a confirmation beep and be asked to “Enter number”.
- Dial the number to which you want to forward all your calls.
- Dial the number exactly as if you were placing a call to that number.
- For off-campus numbers this includes dialing 9, then 1, then area code and phone number. For example, to forward to 909-555-1234, enter 919095551234.
- The phone display will show “Forwarded to ############”.
- Dial the number exactly as if you were placing a call to that number.
Forwarding to Voicemail
- Press the button under either “CFwdALL” (older models) or “Forward all” (newer models).
- You will hear a confirmation beep and be asked to “Enter number”.
- Press the “messages” button on your phone or enter the voicemail number, 18555.
- The phone display will show “Forwarded to Voicemail” or “Forwarded to 18555”.
To Disable Forwarding
- Press the button under either “CFwdALL” (older models) or “Forward off” (newer models).
If you are off-campus (no access to campus phone)
- send an email to tccit@claremont.edu and provide the campus phone number/extension and the telephone number to forward campus phone to.
- Answering calls, as if you were at your desk on campus
- Outbound calling, as if you were at your desk on campus
- Ability to share multiple phone line extensions
- Ability to check voicemail
If you are interested in setting this option up, please email the OIT Help Desk who will gather more information about your phone and create a ticket with tccit@claremont.edu. Information you will need:
- Full Name of employee attached to phone number
- Your office location (building, floor, room number)
- Campus Phone number, you want to make available on the Jabber client
- Type of computer and mobile device you would like to use the Jabber client on (Windows, MacOS, iOS, Android – limitted to 1 computer and 1 device)
- Additional Extensions you would like to also answer (must be associated already on your campus phone)
- Email address of employee attached to phone number
